Job description

1 Month Contract With A Local Authority


Role Purpose

Provide high-quality, customer-focused administrative and reception support within an equality-focused framework. Ensure smooth day-to-day office operations, effective communication, and professional service delivery to staff, service users, and external agencies.




Key Responsibilities

  • Deliver general office administration, including reception duties and telephone handling
  • Maintain accurate records, filing systems, and correspondence (internal & external)
  • Manage room bookings and administrative systems
  • Use IT systems including Microsoft Office, SAP, Liquidlogic, and HPCS
  • Create purchase orders and manage stationery procurement
  • Provide a courteous and efficient reception service
  • Welcome visitors, manage sign-in systems, and maintain a tidy waiting area
  • Ensure up-to-date information and leaflets are available
  • Arrange meetings and take accurate minutes
  • Distribute documentation promptly and appropriately
  • Support performance tracking through admin systems
  • Act as a key point of contact for staff, service users, carers, and external agencies
  • Respond to enquiries and share information appropriately
  • Maintain confidentiality in line with data protection regulations
  • Plan and support events for service users
  • Design flyers and send communications
  • Organise activities and logistics
  • Maintain record-keeping and monitoring systems
  • Support staff in using administrative systems
  • Ensure compliance with Health & Safety, Data Protection, and Council policies



Requirements

  • Experience in administrative and reception roles (minimum 1 year)
  • Strong IT skills (Microsoft Office, SAP, Liquidlogic, HPCS)
  • Ability to manage records and data accurately
  • Confident communication with diverse stakeholders
  • Experience taking meeting minutes
  • Strong organisational and multitasking skills
  • Professional telephone manner
