6 months contract with a Local Authority
Job Title: Council Tax Administration Officer
Job Purpose
To provide efficient administrative support within the
Council Tax Service, ensuring the accurate processing of customer information,
correspondence, and system records. The post holder will be responsible for
importing and managing emails within the Civica DIP360 system, maintaining
accurate records, and supporting the delivery of an effective and
customer-focused Council Tax service.
The role requires strong administrative skills, attention to
detail, and proficiency in Microsoft Office applications, alongside working
knowledge of Academy and Civica W2 systems.
Key Responsibilities
Administration and Data Processing
- Import
and process emails from the Council Tax mailbox into the Civica DIP360
system.
- Accurately
record and maintain customer information and case records.
- Ensure
correspondence is correctly allocated and processed within agreed
timescales.
- Manage
electronic documents and maintain organised filing systems.
- Support
the administration of Council Tax accounts and related services.
Systems Management
- Use
Civica DIP360, Academy, and Civica W2 systems to update and maintain
records.
- Monitor
system workflows and ensure cases are progressed efficiently.
- Retrieve,
verify, and update data across multiple databases.
- Ensure
data accuracy and compliance with council procedures.
Customer Service Support
- Assist
with enquiries received via email, telephone, and written correspondence.
- Provide
accurate information to residents, businesses, and internal stakeholders.
- Escalate
complex queries to senior officers where appropriate.
- Maintain
a professional and customer-focused approach at all times.
Record Keeping and Compliance
- Maintain
accurate records in accordance with data protection regulations and
council policies.
- Ensure
confidentiality when handling sensitive customer information.
- Support
audits and quality checks by maintaining accurate documentation.
- Follow
Council Tax legislation, policies, and operational procedures.
Team Support
- Work
collaboratively with colleagues to support service delivery.
- Assist
with administrative projects and process improvements.
- Attend
team meetings, training sessions, and development activities as required.
- Provide
general administrative support to the Council Tax team.
Essential Experience
- Previous
administrative experience within a busy office environment.
- Experience
of data entry and record management.
- Experience
using Microsoft Office applications, including:
- Outlook
- Word
- Excel
- Teams
- Experience
handling high volumes of emails and correspondence.
- Strong
attention to detail and accuracy.
Desirable Experience
- Previous
experience working within Local Government.
- Experience
within a Council Tax, Revenues, Benefits, or Customer Services
environment.
- Experience
using Civica DIP360.
- Experience
using Academy software.
- Experience
using Civica W2.
Essential Qualifications
- GCSEs
(or equivalent) including English and Mathematics.
- Relevant
administrative qualification or equivalent experience.
Desirable Qualifications
- Business
Administration qualification.
- Local
Government or Revenues-related training.
Knowledge and Skills
- Knowledge
of administrative processes and procedures.
- Proficiency
in Microsoft Office Suite.
- Working
knowledge of Academy and Civica W2 systems.
- Strong
organisational and time management skills.
- Excellent
written and verbal communication skills.
- Ability
to manage competing priorities and workloads.
- High
level of accuracy and attention to detail.
- Ability
to work independently and as part of a team.
- Understanding
of data protection and confidentiality requirements.
