Job Title: Recruitment Assistant
Job Purpose
The Recruitment and Onboarding Assistant plays a key role in
delivering an efficient, effective, and customer-focused administrative service
that supports the Council's recruitment and onboarding activities. The
postholder will ensure a positive candidate experience whilst promoting the
Council's commitment to diversity, equity, and inclusion throughout the
recruitment process.
Working within the People Services team, the role involves
supporting recruitment administration processes, maintaining accurate employee
records, monitoring recruitment systems and mailboxes, processing onboarding
documentation, and providing first-line support to internal and external
stakeholders.
The Recruitment and Onboarding Assistant will contribute to
the successful delivery of the Council's People Plan and ensure recruitment
processes are completed accurately, professionally, and in accordance with
Council policies and employment legislation.
Key Responsibilities
Recruitment Administration
- Provide
comprehensive administrative support to the Recruitment and Onboarding
team.
- Monitor
shared recruitment mailboxes and process incoming correspondence in line
with established procedures and service standards.
- Assist
with recruitment administration activities, ensuring all documentation is
processed accurately and within agreed timeframes.
- Support
hiring managers, candidates, and stakeholders throughout the recruitment
process.
- Maintain
confidentiality when handling sensitive recruitment and employee
information.
Onboarding Administration
- Process
onboarding documentation and support new starter administration
activities.
- Monitor
Disclosure and Barring Service (DBS) enquiries and process DBS clearance
notifications in accordance with agreed procedures.
- Escalate
complex or high-risk cases to relevant team members where appropriate.
- Support
the smooth onboarding of new employees, ensuring all required checks and
documentation are completed.
Records Management and Data Processing
- Maintain
electronic personnel records and recruitment files accurately and
securely.
- Upload,
file, index, and retrieve recruitment and employment-related documentation
using electronic systems.
- Manage
document storage and ensure compliance with data protection and
information governance requirements.
- Monitor
electronic post and distribute documents to relevant colleagues promptly.
Customer Service and Stakeholder Support
- Act
as a first point of contact for recruitment and onboarding enquiries from
internal and external customers.
- Build
and maintain positive working relationships with managers, candidates,
schools, and external stakeholders.
- Respond
professionally and courteously to enquiries, providing accurate
information and guidance.
- Support
the delivery of an excellent candidate and customer experience.
Team Support and Continuous Improvement
- Work
collaboratively with Recruitment and Onboarding Administrators, Officers,
and wider People Services colleagues.
- Contribute
to service improvement initiatives and project work as required.
- Assist
colleagues during periods of high workload to ensure service delivery
targets are achieved.
- Participate
in training and development activities to maintain and enhance knowledge
and skills.
- Undertake
any other duties appropriate to the role and grade.
Experience Required
Essential
- Experience
of providing administrative support within a recruitment, onboarding, HR,
or people services environment.
- Experience
of working within a large and complex organisation.
- Experience
of building positive relationships with internal and external
stakeholders.
- Experience
of managing confidential and sensitive information.
- Experience
using applicant tracking systems, recruitment platforms, or HR systems.
- Daily
use of Microsoft Office applications including Outlook, Word, Excel, and
Teams.
Desirable
- Experience
within local government, public sector, education, or similar
environments.
- Experience
supporting recruitment campaigns and pre-employment checking processes.
- Experience
processing DBS checks or other employment screening activities.
- Experience
contributing to service improvement projects.
Qualifications
Essential
- GCSEs
(or equivalent) including English and Mathematics at Grade C/4 or above.
- Strong
IT skills with proficiency in Microsoft Office applications.
Desirable
- Level
2 or Level 3 qualification in Business Administration, Human Resources, or
a related discipline.
- CIPD
qualification or working towards a CIPD certification.
- Additional
training in recruitment, onboarding, customer service, or administration.
