Job description
3 Month Contract With A Local Authority
To work collaboratively with colleagues across Children’s Services to support the delivery of high-quality services for children, young people, and their families, contributing to making Wirral a great place to grow up.
The postholder will promote a strong customer service ethos and provide efficient, high-level administrative and business support. This includes responsibility for financial administration, data collation, communication processes, and auditing procedures in line with corporate policies, ensuring the service meets its statutory requirements.
Main Duties and Responsibilities
Deliver comprehensive and high-quality administrative support across the service, ensuring all deadlines are met and work is completed to a consistently high standard.
Organise and support meetings and events, including:
Preparing agendas and documentation
Sending invitations and coordinating attendance
Booking venues and arranging logistics (including refreshments)
Taking accurate minutes (including integration of previous minutes where appropriate)
Circulating minutes and tracking follow-up actions in line with policies and procedures
Maintain and develop effective electronic and paper filing systems to ensure accurate and secure data storage.
Lead on data capture, monitoring, and reporting to support service delivery and performance management.
Provide informal training, guidance, and professional support to administrative staff, sharing knowledge and best practice.
Support the development of administrative staff skills and capabilities across the service.
Maintain accurate financial records to support budgeting, forecasting, and expenditure monitoring.
Support recruitment processes, including safer recruitment requirements (e.g. DBS checks, references), interview coordination, induction, and onboarding activities.
Oversee procurement processes and ensure compliance with financial and auditing procedures, escalating risks where necessary.
Contribute to marketing and promotional activities, including organising events, conferences, and information-sharing networks.
Support facilities management where required.
Ensure appropriate licences, insurance, service contracts, and operational procedures are in place and maintained.
Undertake key holder responsibilities as required.
Requirements
Educated to GCSE level (or equivalent), including English and Mathematics, or equivalent experience.
Strong numeracy, literacy, IT, and communication skills, including accurate keyboard skills.
Proficiency in Microsoft Office applications and relevant business systems.
Knowledge of data protection, confidentiality, and information sharing protocols.
Understanding of Health and Safety at Work principles.
Experience in business administration, including working with databases, reporting, and information systems.
Experience of procurement processes and financial administration.
Ability to manage diaries, prioritise workloads, and meet deadlines under pressure.
Strong organisational skills with the ability to work independently and proactively resolve issues.
Ability to communicate effectively with colleagues, partners, and members of the public, both verbally and in writing.
Ability to handle sensitive and potentially distressing information professionally, particularly in relation to safeguarding matters.
